Invoice Profile

An Invoice is a list of goods or services provided, with a statement of the sum due for these goods or services. The Invoice profile allows you to track and manage Invoice information.

This topic covers the information displayed in the profile and links to the topics describing actions that you can perform on the profile page.

Invoice Profile Information

The Invoice Profile displays the following information:

Field Description
customer Displays the full name of the customer who ordered the purchase. Click the link to go to the Individual Profile.
bill to customer Displays the full name of the customer who paid for the purchase. Click the link to go to the Profile page for that individual or organization.
invoice number Displays the netFORUM-generated number for this invoice.
order code Displays the invoice number most of the time
invoice batch Displays the batch used to process this invoice. Click the link to go to the batch Profile page.
transaction date Displays the date that the transaction took place.
po number Displays the full purchase order number.
invoice terms If this is a terms type of invoice, displays the terms. Example: net 15 or net 30.
collection status Displays the status of collection efforts if this invoice is not paid in full.
source code Displays the user-entered source code if this invoice is linked to a marketing campaign or another invoice.
media code Displays the user-entered media type that generated this invoice.
proforma? Displays Yes or No.
paid in full? Displays Yes or No.
batch closed? Displays Yes or No.
invoice total Displays the total currency amount of the invoice charge.
balance Displays the currency amount still owed.
confirmations Displays the customer's confirmation contact preferences.
group items? Displays Yes or No. Yes if there are group items for reporting.

Billing Address Displays the full billing address for the customer.

Invoice Profile Alerts

The following alerts display when certain conditions exist:

Alert Condition
Full Write-off The total amount of this invoice is a write-off.
Partial Write-off A portion of this invoice total is a write-off.
This invoice has been canceled or voided An iWeb user has voided or canceled this invoice.

Invoice Child Forms

The child forms section of the Invoice Profile is divided into several tabs. Each tab contains child forms with information related to the Invoice.

Details Tab

Use the Details tab to view details about this Invoice, such as shipping charges, gl accounts used, and discounts applied. The Documents tab has the following child forms:

Fulfillment Tab

Use the Fulfillment tab to track fulfillment, claims, and issues details. The Fulfillment tab has the following child forms:

Log Tab

Use the Log tab to track what fields have been changed and who changed them, and adjusted items. The Log tab has the following child forms:

Payments Tab

Use the Payments tab to track product payments, product writeoffs, and voided or adjusted payments. The Payments tab has the following child forms:

Use the Return / Cancel tab to view records of returns, credits, and miscellaneous transactions. The Return / Cancel tab has the following child forms:

Subscription Terms Tab

Use the Subscription Terms tab to view the terms of subscription invoices. The Subscription Terms tab has one child form: the subscription terms child form.
